Orvella designs digital products for fintech, health and education clients from a studio in Brooklyn. Sixty designers travel to client sites, buy software and book freelancers, and two people in finance keep the books for everyone.
The challenge
Before Ledgerly, company cards came from the bank, supplier bills arrived by email, and the cash forecast lived in a spreadsheet that Priya rebuilt every Monday. No two tools agreed. Each month-end began with exports from four systems and a list of charges with no receipt or project code.
Closing the month took eight working days, and most of that time went into chasing receipts and matching card charges to projects by hand.
What changed
The team moved cards, bill pay and the forecast onto Ledgerly in a single week. Every designer now carries a virtual card with a monthly limit for their project, and receipts are requested in Slack the moment a charge lands. Supplier bills go to one inbox, where the amount, due date and vendor are read from each PDF before the bill goes to an approver.
We moved everything in a week, and our close went from eight working days to three.

Ledgerly syncs each coded transaction to Xero every hour, so the books are current on any day of the month, not only after the close, and the close itself is shorter.
The results
Month-end close now takes three working days instead of eight. Ninety-two percent of card charges arrive with a receipt attached, and the month-end review covers only the few exceptions that need a person. Four finance tools are now one workspace.
What comes next
Orvella is opening a second studio in Lisbon next year. Priya plans to run it as its own entity in the same workspace, with separate approvers and one combined view.
